Name Change in Share Certificate Process
Step 1- Name Change Affidavit
To update the name on your share certificate, you should initiate the process by preparing an affidavit for a name change through a local Notary. This document should include your previous name, the new name you wish to adopt, and a clear explanation for the name change. Additionally, provide pertinent applicant information, such as your Husband’s/Father’s name, address, and age proof, among other details.
Step 2- Publication in Newspaper
After finishing the preceding step, the subsequent stage involves the publication in a newspaper.
You are required to advertise your Name Change in two local newspapers – one in the regional language, Hindi, and the other in an English newspaper.
Key elements to incorporate in the newspaper publication:
- Age of Applicant
- Date
- Father’s/Husband Name of Applicant
- Full Address of Applicant
- New Name of Applicant
- Notary Name who attested the affidavit
- Old Name of Applicant

Step 3- Announcement of Name Change in the Official Gazette of India.
You are required to submit an application, along with a fee in the form of a Demand Draft (DD) and necessary documents, to have the Name Change Notification published in the Gazette of India.
You are required to submit the specified documents to the Name Change Publication Department-
- Affidavit for Name Change, requiring Notarization (Hard Copy)
- If residing abroad, submission of the deed duly attested by the respective Indian Embassy/Indian High Commission is mandatory.
- Publication in a Newspaper (Hard Copy)
- Submission of a duly filled Name Change form in hard copy according to the provided format.
- Creation of a digital CD containing the "Soft Copy of Specimen in a Compact Disc (CD)"
- Government employees must adhere to the Ministry of Home Affairs 0. M. No. 190016/1/87-Estt. Dated 12/03/1987, submitting the Deed for Name Change.
- A Demand Draft of Rs. 1100/- (for adults) and Rs. 1700/- (for minors) drawn in favor of Controller of Publications, Delhi.
- Two Passport Size Photographs, self-attested.
- One self-attested Photo ID Proof.
- A certificate, signed by the Applicant, affirming that the information in both the Hard and Soft copies is identical.
- Submission of an Application/Forwarding Letter detailing all enclosed documents within the envelope.
Step 4 – Name Change in Share Certificate Applying
If shares exist in a physical format
Compose a letter directed to the Registrar and Share Transfer Agent, providing the rationale behind the name change and specifying both your former and current names.
Ensure that all necessary supporting documents validating the name change are enclosed.
Remember to include the original share certificate with the letter.
If not already done, self-attest the letter and accompanying documents before dispatching them.
If shares exist in a Demat Form
